Who we are
The Dental Marketing Company (“we”, “us”) is a digital marketing agency for independent dental practices, based in Fernie, British Columbia. We are a business of birr agency. This policy explains what personal information we collect through this website, why we collect it, and the choices you have.
Kyle Hamilton, our founder, is responsible for how we handle personal information. You can reach him using the details at the end of this policy.
What we collect
Information you give us. When you use our contact form we collect the details you enter:
- Your name and email address (required)
- Your phone number, practice name and province (optional)
- What you would like help with, and your message
If you book a call, you give your details to our scheduling provider, TidyCal. If you phone or email us, we keep a record of that conversation.
Information collected automatically. Like most websites, our hosting and security provider records technical data such as your IP address, browser type, device and the pages you request. We also use Google Tag Manager, which may load analytics or advertising tags that record how visitors use the site, such as pages viewed and the buttons clicked. These tools may use cookies or similar technologies.
Please do not send us patient information. Our form and phone line are for business enquiries. Do not include health information about any patient in a message to us.
How we use it
- To reply to your enquiry and set up a conversation
- To prepare for and follow up on calls, proposals and, where you become a client, to provide our services
- To understand how the site is used, fix problems and improve it
- To measure and improve our own marketing
- To protect the site against spam and misuse, and to meet legal obligations
We do not sell your personal information.
Your consent
By sending us a message or booking a call you agree to us using your information for the purposes above. You can withdraw your consent at any time, subject to legal or contractual limits, by contacting us. Withdrawing consent may mean we can no longer respond to you or provide a service.
If we send you marketing emails, we do so only with your consent, in line with Canada’s anti-spam law, and every message will include a way to unsubscribe.
Who we share it with
We share personal information only with the companies that help us run the site and our business, and only as much as they need to do their job. These include:
- Formspree, which receives contact form submissions and delivers them to us by email
- TidyCal, which handles call bookings
- Cloudflare, which hosts the site and helps keep it secure and fast
- Google, through Google Tag Manager and any tags loaded through it
- The tools we use to manage email and enquiries, and our parent business, birr agency
These providers have their own privacy policies. We may also disclose information if the law requires it, to protect our rights, or as part of a sale or reorganization of our business.
Where your information is stored
Some of our service providers store or process information outside Canada, including in the United States. While your information is in another country, it is subject to that country’s laws, and courts or authorities there may be able to access it.
How long we keep it
We keep personal information only as long as we need it for the purposes described here or as the law requires. When we no longer need it, we delete it or make it anonymous.
How we protect it
We use reasonable safeguards for the sensitivity of the information, including secure connections (HTTPS) and limiting who can see enquiries. No method of sending or storing information is completely secure, so we cannot guarantee absolute security.
Cookies
Cookies are small files stored on your device. The tools described above may set them to remember preferences or measure site use. You can block or delete cookies in your browser settings. If you do, some parts of the site may work differently.
Your rights
You can ask us for access to the personal information we hold about you, ask us to correct it, or ask us to delete it. We will respond within the time the law requires. We may need to confirm who you are first.

Children
This website is meant for dental professionals and practice owners. It is not directed at children, and we do not knowingly collect their information.

Our site links to other websites, including our podcast, our parent business and our booking page. We are not responsible for their privacy practices, so please read their policies.

We may update this policy from time to time. The date at the top of the page shows when it last changed.
